This privacy notice relates to the information you provide to MusicFutures (“MusicFutures”). MusicFutures is committed to being transparent about how we collect and use your personal data and to meeting our obligations under data-protection law.
We, MusicFutures, University of Liverpool, Foundation Building, Brownlow Hill, Liverpool L69 7ZX, Telephone +44 (0) 151 794 2000, are the data controllers for personal data relating to you that we process.
Where do we get your personal data from?
We process personal data supplied to us by our website and its associated forms, including, but not limited to, Zoho, Airtable, Mailchimp, Eventbrite registrations, Microsoft Forms, Microsoft Teams Webinar registrations and SurveyMonkey surveys administered to participants in our activities and events.
What personal data about you might we hold?
Information held about you may include:
- your name;
- your email address;
- your telephone number;
- your company name;
- your role/job title; and
- which MusicFutures Network events, webinar or programmes you have taken part in
Why do we process your personal data?
We only process your personal data for specified purposes and if it is justified in accordance with data-protection law. The table below lists the various purposes for which we process personal data and the corresponding justification for it.

Who can access your personal data?
All Academic Partners of MusicFutures (e.g. Liverpool John Moores University, Tithebarn St, Liverpool, L2 2QP) will be able to access your personal data. In addition some information (postcodes) may be shared with our funder The Arts and Humanities Research Council (AHRC). We will not share your personal data with any other third parties or use it for marketing purposes other than as detailed above.
We use Submittable, Zoho, Mailchimp, SurveyMonkey, Airtable, Microsoft Forms, Outlook and Teams to collect and store some of your personal data. Some of these organisations are based outside of the EU.

How long do we keep your personal data?
We will normally keep your data which you have supplied to us for the purposes of expressing your interest in MusicFutures for the minimum duration of the MusicFutures programme, which we expect to last until February 2030. If the programme continues past that date, we will contact you to ask if you consent to us keeping your data.
If you go on to take part in a MusicFutures project, we will continue to retain your personal data for the purposes of facilitating your participation in the project, informing you for opportunities and activities, and for analysis and evaluation of MusicFutures for up to ten years past the point that the project came to a close. There will be a separate privacy notice, covering these issues at the point of your involvement in the project.
What rights do I have when it comes to my data?
Under the UK General Data Protection Regulation, you may have the following rights with regards to your personal data:
- The Right to subject access – you have the right to see a copy of the personal data that the University holds about you and find out what it is used for.
- The Right to rectification – you have the right to ask the University to correct or remove any inaccurate data that we hold about you.
- The Right to erasure (right to be forgotten) – you have the right to ask the University to remove data that we hold about you.
- The Right to restriction – you have the right to ask for your information to be restricted (locked down) on University systems.
- The Right to data portability – you have the right to ask for your data to be transferred back to you or to a new provider at your request.
- The Right to object – you have the right to ask the University to stop using your personal data or to stop sending you marketing information, or complain about how your data is used.
- The Right to prevent automated decision making – you have the right to ask the University to stop using your data to make automated decisions about you or to stop profiling your behaviour (where applicable).
